1. About Pickleball Trips
Pickleball Trips LLC (“Pickleball Trips”, “we”, “us”) curates, promotes, and facilitates pickleball-focused travel experiences, including but not limited to accommodations, events, clinics, tournaments, and social activities. We do not own or operate airlines, hotels, transportation providers, venues, or activity operators unless explicitly stated.
2. Eligibility
By using our services, you represent that:
- You are at least 18 years of age, or are using the services with the consent of a parent or legal guardian.
- You have the legal authority to enter into these Terms.
- All information you provide is accurate and complete.
3. Bookings and Payments
3.1 Reservations
All bookings are subject to availability and confirmation. A booking is not guaranteed until you receive written confirmation from us.
Confirming your booking is separate from confirming the trip. Each tour needs a minimum number of travelers and confirmed staff to run, and once it has both we send you a “Trip Is Confirmed” email. Please do not book airfare or other travel until you receive it. If you book airfare or other travel before you receive that email and we later cancel the trip, we do not refund those costs.
3.2 Payments
Prices are listed in USD unless otherwise stated.
You pay a 20% deposit when you book. 40% of the total is due 180 days before departure, and the final 40% is due 90 days before departure. Payments after the deposit are charged automatically to the card you saved when you booked.
If a payment is missed or a charge fails, we will let you know. If the payment is still outstanding a reasonable time after that notice, we will treat your booking as cancelled by you on that date, and section 4.1 applies.
3.3 Price Changes
Prices on our website may change at any time. Once you book, your trip price is locked and will not change, with one exception: if a government introduces a new tax or fee that applies to your trip after you book, we may pass it on to you at cost.
3.4 Payment Disputes
If you have a concern about a charge, please contact us before disputing it with your bank or card issuer. A chargeback filed against these Terms is treated as a cancellation by you under section 4.1. We may share these Terms and your booking records with the payment processor. Any credit or deposit transfer on your booking is void while a dispute is open.
4. Cancellations, Changes, and Refunds
4.1 Participant Cancellations
If you cancel, your refund depends on how far ahead of the tour’s start date you cancel. Please send your cancellation in writing to guest@pickleballtrips.com. It takes effect on the date we receive it.
Refunds are calculated on your total trip cost — the full amount invoiced for your booking after any discounts or credits, including any extras you booked with us such as a single supplement, additional hotel nights, or transfers. A refund is never more than you have actually paid.
| When you cancel | Your refund |
|---|---|
| 91+ days before the start date | Full refund minus the 20% deposit |
| 61–90 days | 50% refund of the total trip cost |
| 31–60 days | 25% refund of the total trip cost |
| 0–30 days | No refund (your 20% deposit is still transferable) |
Final payment is due 90 days before departure, which is one day after the 91+ tier ends. If you are thinking about cancelling near that date, talk to us first.
Your 20% deposit is non-refundable, but it is 100% transferable to any future Pickleball Trips tour for the same traveler.
4.2 Trip Changes or Cancellations by Us
We reserve the right to modify or cancel a trip due to circumstances including (but not limited to):
- Insufficient participation
- Weather
- Safety concerns
- Force majeure events
If we cancel a trip because too few travelers have booked or because we are unable to staff it, we will give you a full refund of what you have paid. If we change or cancel a trip because of weather, safety concerns or force majeure events, our liability is limited to refunds actually received from third-party suppliers.
When needed, we may substitute hotels, venues, or activities of a similar standard. A substitution is not a cancellation and does not entitle you to a refund.
“Force majeure events” means events outside our reasonable control, such as natural disasters, epidemics, war or civil unrest, strikes, government action or travel restrictions, and the failure of a supplier. If we still run a trip and you choose not to travel because of such an event, your cancellation is handled under section 4.1, and we recommend claiming through your travel insurance.
4.3 Changes by You
Changes to your room type, number of nights, itinerary or travelers can’t be made within 45 days of departure. Before that, just get in touch and we’ll do our best to help. If we can’t make a change you ask for, your booking is not cancelled; if you then decide not to travel, section 4.1 applies.
5. Assumption of Risk
You acknowledge that:
Pickleball and travel activities involve inherent risks, including physical injury, illness, property loss, or death.
You voluntarily assume all risks, known and unknown, associated with participation in any trip or activity.
You agree that participation is entirely at your own risk.
6. Health, Fitness, and Medical Responsibility
You are solely responsible for:
- Determining your physical fitness and medical readiness
- Obtaining necessary medical clearance
We strongly recommend travel insurance. If you travel without it, you are responsible for any medical, evacuation, or cancellation costs it would have covered.
We do not provide medical advice or care.
7. Liability Waiver and Release
To the maximum extent permitted by law, you agree to:
Release, waive, and discharge Pickleball Trips, its owners, employees, contractors, partners, and agents from any and all claims, liabilities, damages, or expenses arising from your participation.
This includes claims based on negligence, except where prohibited by law.
8. Our Services and Third-Party Providers
Our own team leads your trip and runs our pickleball instruction, and on some trips we drive a vehicle we operate.
Other services on your trip are provided by independent third parties, such as hotels, airlines, venues, restaurants, local operators, and transportation companies. We arrange these on your behalf, but we do not own or control them.
We are not responsible for:
- Acts or omissions of third parties
- Delays, cancellations, injuries, or losses caused by third parties
- Changes third parties make to schedules, accommodations, or services
9. Travel Documentation and Compliance
You are responsible for:
Valid passports, visas, and travel documents
Compliance with local laws, customs, and regulations
Any fines, penalties, or consequences resulting from non-compliance
10. Code of Conduct
We reserve the right to remove any participant from a trip without refund for behavior that is:
- Disruptive
- Unsafe
- Abusive
- Illegal
- Harmful to others or the experience
The guide leading your trip may make this decision on the spot. If you are removed, you are responsible for your own travel home and for any costs your behavior caused, such as damage or rebooking.

All content on PickleballTrips.com, including text, logos, images, videos, and branding, is the property of Pickleball Trips or its licensors.

12. User Content

13. Disclaimer of Warranties
Our website and services are provided “as is” and “as available.” We make no warranties, express or implied, including:
Fitness for a particular purpose
Accuracy of information
Availability or uninterrupted access
14. Limitation of Liability
To the maximum extent permitted by law:
Our total liability shall not exceed the amount you paid to us for the applicable trip.
We shall not be liable for indirect, incidental, special, or consequential damages.
15. Indemnification
You agree to indemnify and hold harmless Pickleball Trips from any claims, damages, losses, or expenses arising from:
Your participation
Your breach of these Terms
Your violation of any law or third-party rights
16. Governing Law and Jurisdiction
These Terms shall be governed by the laws of the State of Texas, without regard to conflict of law principles.
Any disputes shall be resolved exclusively in the courts located in Dallas County, Texas.
17. Changes to These Terms
We may update these Terms from time to time, and the date of the latest version appears at the top of this page. Your booking is governed by the Terms in effect on the date you booked. Changes apply only to bookings made after they are posted.
18. Your Information
We collect the information we need to run your trip, including what you provide on our Registration and Liability Form, and share it only with the suppliers who need it, such as hotels, airlines, and activity providers. Our Privacy Policy explains how we handle your information.
